Look for information friction
Supplier enquiries, document intake, engineering knowledge search and first-pass classification can be useful discovery topics. A proposed AI assistant might help organize or summarize information, but it should not certify a component, approve a design change or make a safety decision. Those responsibilities belong with qualified, accountable teams.
Preserve traceability
A useful system must make it possible to identify the source document, its version and the person who approved any resulting action. Where data crosses company boundaries, clarify permissions, confidentiality, retention and customer requirements before any pilot. Include exceptions such as missing certificates, conflicting specifications and ambiguous part identifiers in evaluation.
Design for supplier realities

Supplier size, digital maturity and available records can vary widely. A workflow assessment should reflect that variation rather than assume a uniform technology stack.
Pilot with quality owners
Choose one bounded task, record a baseline and ask quality, engineering and operations owners to define acceptable error and escalation rules. Review every output that could affect commitments or product quality. Only consider broader use after the evidence shows the task is reliable and economically worthwhile.
